Tenant Screening Standards

Long-Term Rentals


Welcome to the Swell View Property Management Rental Application

The following screening standards apply equally to all applicants and are implemented in compliance with applicable federal, state, and local Fair Housing laws. These standards help ensure a consistent, transparent, and fair application review process.

Application Requirements

  • We prefer all applicants to apply through Zillow. The application fee is waived when you do. Zillow charges a smaller fee directly, which is less than our standard application fee.
  • Each applicant aged 18 or older must submit a completed rental application.
  • Each adult occupant must apply separately.
  • Application fee is $85 per adult applicant (waived if applying via Zillow).
  • Provide a valid government-issued identification and Social Security Number.
  • Authorize credit, criminal, eviction, and background screening.
  • Provide proof of income and employment.
  • Upload proof of income and driver's license.
  • If approved, a $150 lease preparation fee applies. Security deposit, first month's rent, and pet deposit (if applicable) are due at lease signing.

Income Requirements

  • Household gross monthly income must equal at least three (3) times the monthly rent.
  • Verifiable income is required.
  • Acceptable documentation may include pay stubs, bank statements, tax returns, employment offer letters, or retirement income documentation.

Credit Requirements

  • Minimum credit score: 650 or higher.
  • Applicants should demonstrate responsible financial history.
  • Applications with credit scores below 650 may be subject to additional review, additional security deposit, prepaid rent, or guarantor requirements.
  • Applicants with credit scores below 600 will be declined absent extraordinary circumstances documented in writing and approved by Owner.

Rental History

  • No prior evictions.
  • No outstanding balances or judgments owed to previous landlords or property managers.
  • No history of repeated lease violations.
  • Positive references from all previous landlords for the prior five (5) years (or the applicant's full rental history if shorter). First-time renters may be considered with a qualified guarantor or additional security deposit.

Criminal Background

  • Applications will be reviewed in consideration of resident safety, property protection, and applicable legal guidelines.
  • Criminal background evaluations may consider the nature, severity, and recency of convictions in accordance with applicable laws and community safety considerations.
  • Arrests alone are not grounds for denial.
  • In conducting the individualized assessment above, a pattern of responsibility is generally indicated by the absence of recent felony convictions or three (3) or more misdemeanor convictions within the past seven (7) years. Records older than seven (7) years are generally not considered absent compelling circumstances.

Smoking Policy

  • No smoking in or on the property. All of our properties are non-smoking unless otherwise noted. Renters must be non-smokers.

Occupancy Limits

  • Occupancy is generally limited to two (2) persons per bedroom, consistent with HUD and Florida Fair Housing guidance. Specific bedroom count and maximum occupancy for a given property are confirmed in the Property-Specific Addendum.
  • Additional occupants present at the property for more than seven (7) consecutive days require Owner's prior written approval.

Pet Policy

  • Pets must be approved by management (and Owner, where required) prior to occupancy.
  • Approved pets are subject to a non-refundable pet fee of $250 per pet, plus a refundable pet damage deposit of $250 per pet (separate from the security deposit), plus pet rent of $20 per pet per month.
  • Submit proof of current pet vaccination/shot records for each pet.
  • Tenant households must list pets on the renter's insurance policy. Stray or unauthorized pets may not be fed or kept at the property.
  • Breed restrictions: Pets may not include breeds excluded by the property's homeowner's insurance carrier. Tenants are responsible for confirming that any pet breed is acceptable to the insurer before bringing the pet to the property.
  • Additional pet restrictions may apply based on the property and pet type.

Pet Application


HOA / Condo Restriction Clause

Certain properties may have additional HOA, condominium association, occupancy, insurance, or pet restrictions that applicants must satisfy. These requirements are confirmed in the Property-Specific Addendum at the time of listing.


Compensating Factors

At the Owner's discretion, compensating factors may be required for applicants who fail to meet one or more of the screening standards. These may include, but are not limited to:

  • Additional security deposit (up to two months' rent total deposit)
  • Prepaid rent (up to three months)
  • A qualified guarantor or co-signer with income and credit meeting the same standards as the applicant
  • A shortened initial lease term

The Owner reserves the right to decline any applicant whose qualifying gap cannot reasonably be addressed by compensating factors.


Application Review Disclaimer

Meeting these screening standards does not guarantee approval. Applications are evaluated as a whole and may be subject to additional considerations, property-specific requirements, verification of information provided, and applicable federal, state, and local laws.

Where final approval authority rests with the Owner under the Property Management Agreement, the Broker will present each qualifying application to the Owner within 24 hours of receipt, together with the Broker's recommendation. The Owner shall not unreasonably withhold approval of applicants meeting all applicable standards.


Information Verification

By submitting this application, the applicant acknowledges that all information provided may be verified, including employment, income, rental history, references, and background information.


Fair Housing Compliance

Swell View Property Management LLC complies with all applicable federal, state, and local Fair Housing laws and does not discriminate based on race, color, religion, sex, disability, familial status, national origin, or any other protected class. All applications are reviewed using consistent, uniform, and non-discriminatory screening standards.


Servicemembers (F.S. § 250.01)

If the applicant is a servicemember, the Broker shall provide a written approval or denial of the rental application within seven (7) days after receipt of the completed application. If denied, the reason for the denial will be provided in writing, in accordance with Florida law.
